About the Role

The Receptionist serves as the primary face and voice of Rabbit Mart’s office, responsible for delivering a welcoming customer service experience while ensuring smooth daily administrative and office operations. This role manages visitor management, inbound communications, office supply management, and coordination between internal departments.

What You'll Do

Front Desk Operations & Greeting Visitor Management: Welcome guests, vendors, and candidates upon arrival, maintain the visitor sign-in log/system, and notify relevant employees or departments. Call Handling: Answer, screen, and route incoming phone calls and general inquiries professionally while taking accurate messages. Mail & Logistics Management: Receive, sort, and distribute daily mail, courier packages, and dark store operational deliveries; coordinate outgoing mail and courier services. Lobby Presentation: Maintain a clean, organized, and presentable reception area and main entrance at all times. Administrative Support Office Supplies & Inventory: Monitor inventory levels of office supplies, dark store office consumables, pantry stock, and stationery; place orders and reconcile receipts. Meeting Room Management: Coordinate meeting room reservations, manage schedule overlaps, and ensure rooms are set up with necessary equipment and refreshments prior to executive meetings. Travel & Expense Assistance: Assist with basic administrative tasks such as booking travel, accommodation, or meal orders for visiting leadership or external partners as needed. Facility Coordination: Liaise with building management, cleaning staff, and maintenance contractors to resolve facility issues promptly.

What We're Looking For

Experience: 1–3 years of proven experience as a Receptionist, Front Office Representative, or Administrative Assistant. Education: High school diploma or equivalent; Associate or Bachelor’s degree in Business Administration or related field is a plus.
